Getting paid on time without becoming the bad guy
Late payment is rarely about bad customers. It is usually about unclear terms, slow invoices and reminders nobody owns. Six habits that help.

Most late payments are not a sign of a bad customer. They are a sign that something in the process made it easy to pay later: the terms were vague, the invoice came weeks after the work, or nobody followed up until it became awkward.
The good news is that a few calm habits fix most of it — without turning you into the person everyone avoids.
1. Agree the terms before the work starts
Put the payment terms on the quote, not only on the invoice. When the customer accepts a quote that already says "30 days" or "half up front", there is nothing to discuss later.
2. Invoice the moment the work is done
The longer the gap between the work and the invoice, the lower the invoice sits in the customer's pile. On longer jobs, invoice by milestone or progress so money comes in while the work goes on.
3. Make it easy to pay
State the bank details clearly, include the invoice number in the reference you ask for, and send a statement when a customer has several invoices open.
4. Remind early, remind kindly
A friendly note a few days before the due date works better than a stern one a month after it. Agree a simple sequence — before due, on due, a week after — and stick to it.
5. Write down promises
When a customer says "we'll pay on Thursday", write it down and check on Friday. A kept promise needs no follow-up; a missed one needs a message the same day.
6. Separate disputes from late payments
If a customer is not paying because something is wrong, chasing them harder will not help. Fix the problem, issue a credit note if needed, and then ask for payment.
How Kluvan helps today, and what is coming
Today, Books records receipts against several invoices at once, handles partial payments and credits, imports your bank statement and shows your aged receivables. Projects raises milestone and progress invoices straight from the work.
The Collections app — ageing per customer and per invoice, promises to pay, reminder sequences that skip disputed invoices, and payment links — is in early access. You can buy it on its own, and the Service Business and Trade Business bundles include it.
