A look inside

How it works end-to-end
From the first click or request to the linked record in your workspace.
1. Open Books invoices sync automatically
Every issued invoice in Books appears in Collections with its due date, branch, customer segment and ageing bucket.
2. Paced reminders respect disputes & quiet hours
Automated email/WhatsApp reminders go out during business hours with a one-click online payment link—skipping any disputed invoice.
3. Log promises, disputes or instalment plans
Collectors or customers (via the Customer Portal) record a promise date or raise a dispute; broken promises surface on Today.
4. Payment settles Books & updates cash forecast
Online payments and matched bank lines create an audited Books receipt and close the collection case automatically.

Common questions answered
Will Collections accidentally send payment reminders to a customer who disputed an invoice?
Never. As soon as an invoice has an open dispute (logged by staff or by the customer in the Customer Portal), automated reminders pause for that invoice until the dispute is resolved.
Can customers pay part of an overdue statement online?
Yes. Both the Collections statement link and single-invoice pay links allow full or partial payments through your connected payment provider, booking a Books receipt immediately.
Can we split a large overdue balance into an instalment plan?
Yes. You can split overdue invoices into 2 to 60 weekly or monthly instalments; payments settle the oldest instalment first and escalate the case if grace days pass.
How are write-offs controlled?
Write-offs require the collections write-off permission and follow the monetary threshold configured in Studio Approval Limits (enforcing four-eyes approval so the requester cannot approve their own write-off).
